Who we are

Age restrictions
Pulse Southend is a licensed venue for adults only. We do not knowingly collect personal information from anyone under 18 — where we ask for date of birth, including when you request a tab, it's specifically to confirm you meet this requirement.
What this covers
This policy explains what personal information we collect — online, in My Pulse, and in person at the venue — why, and what rights you have over it. For the detailed breakdown by category, retention period and third party, see our Data Policy.
Information we collect
Depending on how you interact with us, we may collect:
- Account & membership: name, email, phone number, date of birth, address/postcode, membership number, marketing preferences.
- Payments & tabs: your full account balance, spending and visit history, tab history, and a record of every payment you've made to us (by card, bank transfer or in person) — and, if you request a tab, the terms you agreed to (including your signature) and a payment card verified and held on file through our payment processor, Stripe.
- Messaging: a record of WhatsApp, SMS, email and push notifications we've sent you, and your contact preferences.
- Loyalty & rewards: points balance and reward history.
- Door & venue security: we operate CCTV and keep records relating to entry, incidents and venue safety. This is handled in line with data protection law and our licensing conditions.
- Website usage: standard technical data (device, browser) needed to run the site securely.
How we use it
- To set up and manage your account, membership, balance and any tab/credit facility.
- To review your spending and payment history when you request or renew a tab, and to work out a fair credit limit. A tab is never automatic — it depends on sufficient history with us and is always at the owner's discretion.
- To take and process payments, and send payment confirmations/receipts.
- To look into and resolve a query or dispute about your balance or a charge.
- To send you balance reminders, account updates and (where you've agreed) marketing and event updates.
- To run our loyalty and rewards scheme.
- To maintain a safe venue — including managing entry, incidents, and our Challenge 25/refusals and banned-persons processes.
- To meet our legal obligations, for example under licensing law, tax law, or when required to share information with the police or licensing authorities.
Our legal basis for processing
We rely on: performance of a contract with you (running your account, tab and payments); our legitimate interests (keeping the venue safe, preventing fraud, improving our service); your consent (marketing communications, which you can withdraw at any time); and legal obligation (licensing, tax and safeguarding law).
Who we share it with
A small number of trusted service providers help us run Pulse Southend — our till system, payment processor, messaging provider, website host and sign-up form provider — each receiving only what it needs to do its job. See our Data Policy for the full list. We may also share information with the police or licensing authorities where we're legally required to, or to protect someone's safety. We never sell your personal information.
How long we keep it
We keep your information for as long as your account is active with us, plus a period afterwards where we have a legal or business reason to (for example, financial records for tax purposes, or incident records for venue safety). Full retention periods by category are set out in our Data Policy.
Your rights
Under UK data protection law, you have the right to ask us: what information we hold about you; to correct it if it's wrong; to delete it (where we don't have a legal reason to keep it); to restrict or object to how we use it; and to receive a copy in a portable format. To exercise any of these, email info@pulsesouthend.co.uk. If you're unhappy with how we've handled your information, you can also complain to the Information Commissioner's Office (ico.org.uk).
Who can see it internally
Your account balance, spending history, tab and payment records are visible only to the owner and to staff individually given account-management access as part of their role — never to all staff by default, and never used for anything beyond running your account, the venue and our legal obligations. Approving or declining a tab request, editing a credit limit, and viewing the full activity log are restricted to the owner alone.
Keeping your information safe
We restrict access to personal information to staff who need it to do their job, use industry-standard security practices (including encrypted connections and secure password/PIN storage), and never store full payment card numbers ourselves — that's handled directly by Stripe, a PCI DSS-compliant payment processor.
Cookies
Our website uses only the cookies necessary to keep you signed in and to remember basic preferences. We don't use third-party advertising or tracking cookies.
Changes to this policy
We may update this policy from time to time; the date at the top shows when it was last changed. Significant changes will be highlighted on this page.
